Your Role, Your Impact
The Document Controller supports project execution by assisting the Project Management Manager/Senior Manager, ensuring all project stages from pre-construction to post-construction are completed on time and properly managed, regardless of challenges that may be encountered.
Perform administrative tasks such as collecting, organizing, filing, and distributing project documents to the appropriate personnel, workers, and stakeholders.
- Maintain records of all project-related documents and ensure timely and accurate submission to concerned departments as directed by the Project Management Manager/Senior Manager.
- Provide logistical support for project activities and ensure smooth coordination of work-related requirements.
- Arrange and coordinate meetings, presentations, seminars, and training sessions, and notify the Project Management Manager/Senior Manager of schedules and necessary preparations.
- Attend meetings with the Project Management Manager/Senior Manager to document discussions, capture key details, and provide updates or clarifications as needed.
- Document and maintain records of weekly and monthly reports, including periodic Percent of Completion (POC) certifications required for accounting purposes.
- Participate in Project Weekly Coordination Meetings as required by the Project Management Manager/Senior Manager.
- Maintain records of bidder/supplier lists (long and short lists), Project Authorization Orders (PAOs), Billing Requests, Work Authorization Orders (WAOs), and Change Order Requests.
- Schedule and coordinate pre-bid meetings, clarification meetings, and bid openings for project work packages under the bidding/tendering process, in coordination with the Process Improvement & Control Supervisor (SAP Project Control Officer).
- Prepare, document, and maintain records related to SAP Purchase Requisitions (SAP-PR) as part of the procurement process.
- Record and monitor actions taken to address punch list items during the Construction Warranty Period, including the timely turnover of units to the Quality Assurance Department (QAD) and Property Management (for amenities, common areas, and commercial spaces).
- Maintain documentation and monitor project compliance with Process Improvement & Control requirements.
- Perform other related duties as may be assigned from time to time.
