Role Overview

We are seeking an experienced Construction Estimator / Contract Administrator Virtual

Assistant to support Australian residential and commercial construction projects. The ideal candidate will have strong experience in Australian construction, combining estimating capability, project coordination, contract administration, procurement, and financial management support.

This role requires someone who can work independently, manage project documentation, assist with tender submissions, and support builders and construction teams throughout the project lifecycle.

Key Responsibilities

Estimating & Tender Support

● Prepare accurate cost estimates for residential and commercial construction projects.

● Prepare Bill Of Quantities

● Review drawings, specifications, and project requirements to prepare pricing.

● Assist with tender and bid preparation, submissions, and follow-ups.

● Conduct quantity take-offs and cost analysis.

● Preparation, drafting, and emailing trade scopes to sub-contractors

● Support pricing reviews and variations.

● Automating the process where possible

Project Administration & Coordination

● Assist with project scheduling, tracking, and reporting.

● Support project managers with documentation and workflow management.

● Maintain project records, reports, and construction documentation.

● Assist with budget tracking and project financial reporting.

● Coordinate with suppliers, subcontractors, and internal teams.

Contract Administration

● Prepare and manage contract documentation.

● Assist with procurement processes, supplier engagement, and subcontractor

coordination.

● Track project milestones, costs, and deliverables.

● Support compliance documentation and project reporting.

● Assist with purchase orders, invoices, and cost control.

Required Experience & Skills

● Minimum 7 years’ experience in construction estimating, contract administration, or

project coordination.

● Experience working within the Australian construction industry.

● Background in both residential and commercial construction projects preferred.

● Strong understanding of Australian building processes, construction documentation,

and project workflows.

● Experience using Cubit Estimating.

● Experience using Wunderbuild for estimating and/or project management preferred.

● Experience with Microsoft Project for scheduling and project planning preferred.

● Experience in:

○ Tender and bid management

○ Procurement

○ Contract administration

○ Budget tracking and financial reporting

○ Cost management

Software Experience

Preferred experience with:

● Cubit Estimating

● Wunderbuild

● Microsoft Project

● Construction management platforms

● Microsoft Office Suite (Excel, Word, Outlook)
