We are looking for a highly organised and tech-savvy Senior Sales Support Specialist who can provide strong operational, administrative, and data-driven support to the sales team. This role is ideal for someone who understands sales processes, knows how to manage CRM systems with accuracy, and can confidently use AI tools, especially Claude , to improve productivity, reporting, workflow efficiency, and decision-making.
This is not just a backend admin role. The right person will be an important part of the sales engine, helping maintain a clean and accurate pipeline, supporting the Sales Director with reporting and insights, improving internal processes, and using AI to make sales operations smarter, faster, and more structured.
The ideal candidate should be comfortable working with CRM platforms such as HubSpot , managing sales data, preparing dashboards and reports, coordinating with sales teams, and using Claude to assist with sales documentation, data summaries, email drafts, process notes, meeting recaps, pipeline insights, and workflow optimisation.
Key Responsibilities
- Manage and maintain the sales pipeline by ensuring all opportunities, leads, contacts, and deals are accurately updated in the CRM.
- Administer and organise HubSpot, including contact management, deal tracking, workflow updates, activity logging, and data clean-up.
- Provide day-to-day sales support to the Sales Director and sales team across documentation, reporting, coordination, and sales activity tracking.
- Use Claude and other AI tools to support sales operations, including drafting sales communications, summarising meeting notes, organising client information, creating process documents, and improving workflow efficiency.
- Generate sales reports, dashboards, and performance summaries to provide visibility on pipeline health, lead progress, sales activities, and team performance.
- Analyse sales data and performance metrics to identify trends, gaps, opportunities, and areas for operational improvement.
- Support CRM accuracy by maintaining clean data, removing duplicates, updating records, checking missing information, and ensuring reporting integrity.
- Coordinate with sales team members to track pipeline movement, follow up on action items, and ensure clear visibility across active opportunities.
- Assist in preparing sales materials, internal reports, client documentation, and operational updates as required.
- Support process improvement initiatives by documenting workflows, identifying manual tasks that can be streamlined, and recommending better ways of working.
- Use AI responsibly to enhance productivity while maintaining accuracy, confidentiality, and professional judgement.
- Support sales team engagement by helping improve collaboration, accountability, communication, and consistency across sales operations.
- Assist the Sales Director in executing strategic sales initiatives, monitoring key metrics, and preparing actionable insights for planning and decision-making.
AI and Claude Responsibilities
- Use Claude to draft, refine, and organise sales-related documents, reports, internal communications, process guides, and client-facing materials.
- Create concise summaries from sales notes, meeting transcripts, CRM updates, and pipeline discussions.
- Support sales reporting by using AI to identify patterns, clean up information, structure insights, and prepare executive-friendly summaries.
- Develop prompt templates for recurring sales support tasks such as follow-up emails, meeting recaps, CRM update summaries, sales activity reports, and pipeline reviews.
- Assist in building repeatable AI-supported workflows that reduce manual admin time and improve sales team productivity.
- Apply critical thinking when using Claude by reviewing, validating, and refining AI-generated outputs before sharing or using them.
- Identify opportunities where AI can improve sales operations, including automation, documentation, reporting, lead tracking, and internal coordination.
Requirements
What You Bring
We’re looking for someone who:
- Bachelor’s degree in Business Administration, Marketing, Management, or a related field is preferred.
- At least 3 years of experience in sales support, sales operations, CRM administration, revenue operations, or a similar role.
- Strong hands-on experience with CRM platforms, preferably HubSpot, including pipeline management, contact updates, activity tracking, and reporting.
- Proven ability to prepare sales reports, dashboards, performance summaries, and operational insights.
- Strong working knowledge of Claude, ChatGPT, or similar AI tools, with the ability to use AI for documentation, reporting, data summaries, workflow support, and productivity improvement.
- High attention to detail, especially when handling CRM data, sales records, reporting, and documentation.
- Strong analytical skills with the ability to interpret sales data and turn information into useful insights.
- Excellent communication and coordination skills when working with sales teams, leadership, and cross-functional stakeholders.
- Strong organisational skills with the ability to manage multiple priorities while maintaining accuracy and consistency.
- Proactive, resourceful, and confident in suggesting process improvements.
- Ability to work independently while staying aligned with sales leadership and team priorities.
- Comfortable working in a fast-paced sales environment where accuracy, responsiveness, and structure are critical.
