Human Resources Assistant

Mission

The Human Resources Assistant provides administrative and operational support across key Human Resources functions, including employee onboarding, talent management, employee engagement, communications, digitalization initiatives, visa processing, and internship management. The role is responsible for ensuring the efficient execution of HR programs and processes, maintaining accurate records and documentation, supporting employee experience and engagement activities, and facilitating compliance with organizational and regulatory requirements. The position also contributes to the company's sustainability objectives by promoting digital HR solutions, supporting environmentally responsible practices, and integrating safety and sustainability awareness into HR initiatives, helping foster a positive, inclusive, and productive workplace culture.

Main Responsibilities

Includes, but is not limited to, the following:

Onboarding, Talent Management & Employee Engagement

  • Support the planning and execution of employee engagement activities, including Monthly Pagtitipon, Salu-salo, and other company events.

  • Coordinate talent management activities, including assessment periods, performance evaluation schedules, and relate documentation.

  • Assist in the development, review, and updating of job descriptions for various positions.

  • Facilitate onboarding requirements, including bank account enrollment, ATM card distribution, and other pre-employment and onboarding activities.

  • Ensure new hires receive the necessary information, documents, and support for a smooth onboarding experience.

Visa Processing

  • Serve as the primary point of contact (POC) for inbound and outbound visa applications and related documentation.

  • Coordinate with employees, government agencies, and external providers to ensure timely processing and compliance with visa requirements.

Intern Management

  • Coordinate internship recruitment activities, including candidate sourcing, screening, and selection.

  • Facilitate onboarding and offboarding processes for interns.

  • Maintain and manage intern records, contracts, and supporting documentation.

  • Serve as the primary liaison for interns throughout their internship period.

Communication & Digitalization

  • Assist in managing HR communications and job advertisements across the company's Philippines platforms.

  • Create, edit, and update onboarding and induction materials, including videos and digital content, to support employee orientation programs.

  • Support HR digitalization initiatives by maintaining and improving electronic records, documents, and communication channels.Green Responsibilities

  • Promote sustainability, safety, and environmental awareness by integrating key messages into onboarding programs, induction materials, and internal communications.

  • Support the digitization of HR processes and records to minimize paper usage, improve operational efficiency, and enhance data accuracy.

  • Coordinate and support training initiatives that strengthen competencies in workplace safety, environmental responsibility, and sustainable business practices.

  • Encourage employee participation in company sustainability and environmental initiatives.

Other Responsibilities

  • Perform other HR-related duties and administrative tasks as assigned by management.

  • Provide support to HR projects, programs, and continuous improvement initiatives as required.

 

Profile

Educational Requirements

  • Bachelor's degree in Psychology, Human Resource Management, Business Administration, or a related field.

Desired Knowledge / Experience

  • Experience in HR administration, employee onboarding, recruitment support, or employee engagement activities.
  • Familiarity with creating and managing internal communications, job postings, and digital content. Basic knowledge of video editing tools is an advantage.
  • Knowledge of talent management processes, including performance assessments, employee development initiatives, and job description management.
  • Experience coordinating employee engagement programs, company events, training sessions, or similar activities.
  • Familiarity with visa processing, mobility administration, or handling documentation for local and international employees is an advantage.
  • Experience in coordinating internship programs, including recruitment, onboarding, and documentation management, is preferred.
  • Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook) and capable of working with HR systems and digital platforms.
  • Strong organizational and administrative skills with the ability to manage multiple tasks and meet deadlines.
  • Excellent written and verbal communication skills with strong attention to detail.
  • Ability to maintain confidentiality and handle sensitive employee information professionally.
  • Demonstrates a proactive, service-oriented, and collaborative approach to work.
  • Awareness of sustainability and digitalization practices that support efficient and environmentally responsible HR operations.
