Position Type: Fixed-Term Contract – 6 Weeks, Full-Time

Location: Remote – Philippines 

Reports To: eCommerce Optimisation Manager

Role Overview

We are updating our customer subscriptions on our new subscription platform and require two detail-focused assistants for a 6-week contract role .

Reporting to the eCommerce Optimisation Manager, the Subscription Migration Assistant is responsible for updating approximately 14,500 legacy subscriptions (within our Shopify store), working through them sequentially by following a clear, documented process.

Most records are quick and repeatable; however, some outliers need extra care, such as manually entering the correct products before updating. We value accuracy over speed: every record you touch represents a real customer's regular order, so getting it right the first time matters more than getting it done fast.

Key Responsibilities

1. Subscription Migration

• Update legacy subscriptions in Loop Subscriptions one by one, following the provided step-by-step process.

• Verify each subscription has updated correctly before moving on to the next record.

• Work through allocated batches of records in the agreed order, avoiding overlap with the second assistant.

2. Exceptions & Outliers

• Identify subscriptions that do not update as expected or require manual adjustments.

• Enter the correct products for outlier subscriptions following given guidance.

• Log any records you are unsure about and escalate them to the eCommerce Optimisation Manager.

3. Tracking & Reporting

• Keep the shared progress tracker up to date with completed records, handled outliers, and logged issues.

• Provide a concise end-of-day update on progress and any blockers.

4. Communication & Data Care

• Raise questions early and promptly during overlapping business hours.

• Make only the changes required for the migration—do not make any other edits to customer, order, or product data.

• Handle all customer information securely and in full alignment with confidentiality requirements.

Qualifications & Experience

Required

• 1+ years in a data entry, eCommerce admin, or online store support role.

• Exceptional attention to detail and accuracy with high-volume, repetitive tasks.

• Demonstrated ability to follow a documented process consistently and recognise when data looks incorrect.

• Excellent verbal and written communication skills.

• Self-motivated and capable of working independently with minimal supervision.

Desired

• Experience with Shopify / Shopify Plus backend (admin).

• Hands-on experience with subscription applications (e.g., Loop Subscriptions, Recharge, Skio).

• Previous experience in data migration or platform transition projects.

• A positive attitude and a sense of humour.

Key Results Goals & Performance Indicators

• Completion Target: Complete the migration of all ~14,500 legacy subscriptions within the 6-week contract term.

• Accuracy Target: Maintain a 99%+ accuracy rate on all checked records, ensuring zero impact on customer orders.

• Daily Volume: Achieve an average of 400+ subscriptions updated per day, per person, starting from Week 2.

• Speed to Onboarding: Complete onboarding and begin working independently by the end of Day 1.

• Logging & Tracking: Update progress daily; log all outliers in the tracking system on the same day they are discovered.

• Scope Discipline: Zero unauthorized changes made outside the specified scope of the migration.

Contract Terms & Working Hours

• Duration: Fixed-term contract for 6 weeks (Note: Contract may conclude early if migration is completed ahead of schedule).

• Hours: Full-time (~38 hours per week).

• Schedule: Aligned to Adelaide business hours (8:00 AM – 4:00 PM Adelaide time / approximately 5:30 AM – 1:30 PM Philippine time). Flexibility is negotiable.

Confidentiality & Data Security

In this role, you will have access to sensitive customer personal information (names, addresses, contact details, and order/subscription histories). Candidates must adhere to strict security protocols:

• Keep all customer and proprietary information strictly confidential during and after the contract term.

• Utilize customer data solely for completing the subscription migration.

• Do not copy, download, export, screenshot, or transfer customer data outside authorized systems without written manager approval.

• Use only assigned individual credentials, keep passwords secure, and work from a private, secure device and internet connection.
