Job Summary:

The Finance Coordinator 2 is responsible in managing financial account and billing activities supporting client payroll, tax payments, and invoice collections. The role performs bank and account reconciliations, payment processing, billing setup, client onboarding, collections follow-up, and client billing support while maintaining accurate financial records and providing timely service to clients.

Job Description:

• Reconcile and monitor bank accounts supporting client payroll, tax payments, and invoice collections.

• Review net pay, tax, and invoice accounts and investigate discrepancies, exceptions, and returned items.

• Process and monitor ACH, credit card, and other customer payments and refunds.

• Manage invoicing, payment application, billing adjustments, and account reconciliations.

• Support client onboarding by setting up customer accounts, billing profiles, and memberships in applicable systems.

• Monitor cancellations, account status changes, and related documentation.

• Handle client billing inquiries through phone and email and coordinate appropriate resolution.

• Monitor customer balances and follow up on overdue payments based on established procedures.

• Maintain accurate financial and customer records, reports, and audit trails.

• Support accounts receivable and accounts payable activities, including invoicing, payment application, and reconciliations.

• Conduct client and affiliate outreach to support account retention and collection activities.

• Analyze client and affiliate activity and feedback to support retention initiatives.

• Maintain CRM records, client reports, and key performance information.

• Collaborate with internal teams to improve billing processes and reduce outstanding balances.

• Support special projects and administrative initiatives as assigned.

Qualifications:

• Experience with invoicing and payment application.

• Experience processing ACH and credit card payments.

• Has working knowledge in payroll concepts, including payroll processing, bank funding, net pay, and payroll tax payments.

• Customer-focused approach and ability to provide timely client support.

• Demonstrates strong understanding of billing, payment processing, and account reconciliation.

• Demonstrates strong analytical, organizational, and problem-solving skills.

• Demonstrates a dedicated and quiet home office with a reliable high-speed internet connection suitable for remote work.

• Demonstrates strong attention to detail and accuracy.

• Proven ability to manage multiple priorities independently.

• Clear and coherent both written and verbal communication skills in English.

Screening Criteria:

• Bachelor's degree in Accounting, Finance, Business Administration, or a related field.

• Minimum of three (3) years of direct, hands-on experience in billing, accounts receivable, accounts payable, or payroll bank account reconciliation.

• Experience with UKG Ready or similar payroll/accounting systems.

• Experience with QuickBooks Online or Desktop, including invoicing, payments, and reconciliations.

• Experience in Microsoft 365, particularly Excel, Outlook, and related applications.

• Experience using CRM and/or customer account management systems.

• Must have stable employment history.
