HR Assistant - 1 Yr Experience Rufino, Makati City

Qualifications:

• Bachelor’s degree in Psychology, Human Resource Management, Legal Management, or related field

• At least 1–2 years of HR or administrative experience (Fresh graduates are welcome to apply)

• Working knowledge of Philippine labor laws and HR best practices

• Familiarity with legal office operations and professional ethics is a plus

• Proficient in Microsoft Office and HR systems

Job Description:

1. Recruitment and Hiring (Legal & Support Staff)

• Assist in sourcing and screening applicants for positions such as associates, paralegals, legal secretaries, administrative staff, and other positions as may be needed by the Firm

• Coordinate interview schedules with senior associates, managing partners, partners and/or hiring committees

• Conduct testing and initial interview, prepare recruitment documents, evaluation sheets, and employment offers

• Facilitate background checks and pre-employment requirements

2. Onboarding and Offboarding

• Prepare and maintain onboarding kits (contracts, confidentiality undertakings, Code of Conduct, Policies, etc.)

• Ensure execution of Non-Disclosure Agreements (NDAs) and conflict-of-interest declarations

• Orient new hires on Firm Policies, Code of Conduct, and Confidentiality standards

• Process clearances, exit interviews, and final pay for departing employees

3. Personnel Records and Confidentiality Management

• Maintain strict and confidential handling of employee 201 files (including lawyers’ records)

• Safeguard sensitive information such as compensation, disciplinary records, and client-related exposure

• Ensure proper documentation of employment contracts, performance evaluations, and disciplinary actions

4. Payroll and Government Compliance

• Assist in payroll processing, including timekeeping for billable and non-billable staff

• Coordinate statutory compliance and remittances with:

o Social Security System (SSS)

o PhilHealth

o Home Development Mutual Fund

• Monitor leave credits, benefits, and reimbursements

• Assist in preparation of BIR-related payroll documentation (e.g., 2316)

5. Labor Law Compliance and HR Policies

• Ensure HR practices comply with the Labor Code of the Philippines and relevant DOLE issuances

• Assist in drafting and implementing HR policies specific to Law Firm operations

• Support handling of administrative cases, disciplinary proceedings, and documentation

6. Training, Development, and Firm Culture

• Coordinate internal training (e.g., legal updates, MCLE-related activities, compliance orientations)

• Maintain records of lawyer compliance with continuing legal education requirements

• Assist in organizing firm events, team-building activities, and wellness programs

7. Administrative and Operational Support

• Provide general administrative assistance to the management

• Handle HR-related correspondence and employee inquiries

• Assist in audits, compliance checks, and accreditation requirements
