Position Overview

The Virtual Assistant will provide administrative and operational support to clients and internal teams, enabling efficient day-to-day operations. This role requires strong communication, time management, and organizational skills, along with the ability to handle a variety of tasks remotely in a fast-paced environment. The successful candidate will be proactive, detail-oriented, and comfortable working with digital tools and cross-functional stakeholders.

Key Responsibilities
  • Manage calendars, schedule meetings, coordinate appointments, and send timely reminders to ensure efficient time management.

  • Handle email correspondence, prioritize messages, draft professional responses, and escalate matters as needed.

  • Perform data entry, maintain records, and update CRM or project management systems accurately and promptly.

  • Prepare, edit, and format documents, presentations, and reports with attention to grammar and consistency.

  • Coordinate travel arrangements, including research, booking, itinerary preparation, and expense reporting.

  • Support basic bookkeeping tasks such as invoicing, expense tracking, and reconciliation in collaboration with finance teams.

  • Assist with research tasks, compile summaries, and present actionable findings to stakeholders.

  • Manage and maintain digital files, shared folders, and document version control to ensure easy access and organization.

  • Provide customer support by responding to inquiries, resolving routine issues, and escalating complex matters appropriately.

  • Contribute to process improvements, identify automation opportunities, and implement best practices for remote work efficiency.

Qualifications
  • Experience: Minimum 2 years of experience in virtual assistance, administrative support, or related roles supporting remote teams or executives.

  • Technical Skills: Proficiency with Google Workspace and Microsoft Office; experience with project management and communication tools (e.g., Asana, Trello, Slack, Zoom) is preferred.

  • Communication: Excellent written and verbal communication skills in English, with strong attention to tone, clarity, and professionalism.

  • Organization: Strong multitasking and time-management skills, with the ability to prioritize competing demands and meet deadlines.

  • Problem-Solving: Resourceful and proactive, able to research solutions independently and recommend improvements.

  • Confidentiality: Demonstrated ability to handle sensitive information with discretion and maintain confidentiality.

  • Connectivity: Reliable internet connection, suitable home office setup, and availability during agreed work hours.

Preferred Qualifications

  • Experience supporting clients in fintech, tech, or startup environments.

  • Familiarity with basic bookkeeping or expense management tools (e.g., QuickBooks, Xero, Expensify).

  • Additional language skills or experience managing multilingual communications.

  • Relevant certifications or training in virtual assistance, project management, or customer support.
