Office Assistant / Shipping & Outbound Logistics (Remote)

RemoteVA are seeking a detail-oriented and organized Office Assistant / Shipping & Outbound Logistics professional to support our order fulfillment and logistics operations. This role is responsible for processing customer orders, coordinating shipments, preparing shipping documentation, and ensuring timely and accurate delivery of products.

Responsibilities:

  • Review and process weekly customer orders for shipment.
  • Coordinate daily communication with warehouses, customers, and carriers via EDI, email, and phone.
  • Route and process customer orders accurately and efficiently.
  • Prepare shipping documentation, including Bills of Lading (BOLs), packing lists, labels, and freight paperwork.
  • Submit shipping confirmations and Advance Shipping Notices (ASNs) through EDI systems.
  • Monitor shipment status and proactively resolve shipping or delivery issues.
  • Maintain accurate order, shipping, and inventory records.
  • Perform data entry and administrative support functions.
  • Coordinate with sales, purchasing, and warehouse teams to ensure on-time order fulfillment.
  • Support customer compliance requirements and retailer routing guides.
  • Assist with special projects and other duties as assigned.

Cross-Functional Collaboration

  • Work closely with Sales, Purchasing, Customer Service, and Warehouse teams to ensure smooth order fulfillment.
  • Assist in improving logistics processes and workflow efficiency.
  • Support inventory tracking and shipment reconciliation activities.

Required Qualifications

  • Previous experience in shipping, logistics, order processing, customer service, or administrative support.
  • Strong proficiency in Microsoft Office Suite, particularly:
    • Excel
    • Outlook
    • Word
  • Excellent organizational and time management skills.
  • Strong attention to detail and accuracy.
  • Effective written and verbal English communication skills.
  • Ability to prioritize tasks and meet deadlines in a fast-paced environment.
  • Strong problem-solving and critical-thinking abilities.
  • Self-motivated, dependable, and able to work independently.

Preferred Qualifications

  • Experience working with EDI systems.
  • Knowledge of shipping and freight documentation.
  • Familiarity with retailer compliance requirements and routing guides.
  • Experience using QuickBooks.
  • Background in supply chain, logistics, distribution, or warehouse operations.
