Qualifications:
- Educational Background: Bachelor's Degree in Office Administration, Business Administration/Management or equivalent.
- Work Experience: At least 2 years of experience in Admin Operations or general functions in the Construction Industry.
- Skills & Knowledge: Excellent analytical and documentation skills to ensure accuracy and compliance with high attention to detail and ability to maintain confidentiality.
- Location Requirement: Must be willing to work full-time in our Cebu City Project.
Job Summary:
The Administrative Assistant will be responsible for the creation of incoming and outgoing checklist of supplier's billing to be monitored in a timely manner. Responsible for the transmittal of documents to different business units. Keeps track of all the receiving copies of the transmitted documents on file. Maintains good and well-organized file and responsible for the inventory of office supplies.
Duties and Responsibilities:
1. Billing Documentation:
- Reviews and validates all the billings of the suppliers.
- coordinate with the supplier for the incomplete documents such as State of Account, Purchase Order, Original Sales Invoice and Delivery Receipts.
- Updates the status of the requests through email for tracking and monitoring purposes.
2. Inventory:
- Ensures that office supplies are properly recorded; keeps an inventory list of items.
3. Filing of Documents:
- Establishes a well-organized document filing and ease of access to needed files.
4. Other Clerical Tasks:
- Any other tasks that may be given by the Admin Officer and/or Project Facilitation and Processing Manager from time to time.
