Executive search firm Monroe Consulting Philippines is recruiting a Logistics Assistant for a multinational FMCG company. This is a contractual employment and potential to be extended will be based on company needs. This role will support import/export operations as well as supply chain coordination within regional and locale teams. Working setup is hybrid (3x onsite a week) and office is based in BGC Taguig.
The ideal candidate will assist in managing and coordinating the shipment of goods internationally, ensuring timely delivery, compliance with regulations, and maintaining accurate documentation. This position also involves handling billing and invoicing for logistics services. This role plays a key part in supporting our supply chain operations, customer satisfaction, and financial accuracy. Key Responsibilities
Shipment Coordination :
- Assist Logistics Executive with the coordination of import/export shipments, ensuring they meet delivery timelines and budgetary constraints.
- Communicate with freight forwarders, shipping companies, and customs brokers to ensure smooth transportation of goods.
- Track and monitor the status of shipments, including delays and disruptions, and work to resolve any issues.
Documentation Management :
- Prepare, review, and maintain import/export documentation such as bills of lading, commercial invoices, packing lists, certificates of origin, and other required paperwork.
- Ensure all required customs documents are submitted accurately and in a timely manner.
- Verify compliance with import/export laws and regulations for both domestic and international shipments.
Customs Compliance :
- Coordinate with broker-forwarder in clearing shipments from Customs
Billing and Invoicing :
- Prepare and issue accurate invoices for shipments, ensuring all charges (e.g., freight, customs fees, duties, and handling fees) are properly accounted for.
- Verify billing accuracy by comparing shipping documents, invoices, and contracts.
- Monitor and follow up on outstanding payments and resolve any billing discrepancies with customers and vendors.
- Maintain records of billing and payment transactions for auditing and reporting purposes.
Inventory and Stock Management :
- Assist in maintaining records of stock movement and inventory control related to import activities.
Customer Service :
- Respond to inquiries and resolve issues related to shipments, invoicing, or product deliveries.
