Executive Assistant to the CEO

The Executive Assistant to the CEO reviews, prioritizes, directs and delegates a wide variety of complex and confidential requests that are presented to the executive for consideration. Provides administrative support in a variety of functions to the Chief Executive Officer that are focused on increasing the efficiency of the executive. Being an Executive Assistant to the CEO responds to or routes priority or confidential inquiries from external or internal sources with correspondence or other messaging on behalf of the executive. Summarizes, prioritizes, and researches information into a concise and usable format for the executive to review. In addition, Executive Assistant to the CEO creates or directs creation of reports, charts, budgets and other presentation materials for the executive. Coordinates high level projects, travel arrangements, and meetings. May plan and schedule work and direct other staff to deliver support. Has a broad knowledge and understanding of the company’s operations and business objectives. Requires an associate’s degree or its equivalent. Typically reports to the CEO. Being an Executive Assistant to the CEO contributes to moderately complex aspects of a project. Work is generally independent and collaborative in nature. Working as an Executive Assistant to the CEO typically requires 4 to 7 years of related experience.

Our company is looking for a Executive Assistant to the CEO to join our team.

Responsibilities:

  • Creating documentation (correspondence, board papers, reports, presentations, etc) to required format and standard;
  • Ensure that there is a follow-through on decisions taken;
  • Build constructive relationships with management and colleagues in the organisation as a whole;
  • Managing incoming communication and using experience and sound judgement to prioritise and escalate appropriately;
  • Applying understanding of departmental drivers and constraints as well as CEO preferences to coordinate activities and meetings;
  • Contribute to building and maintaining the reputation of the business by conducting responsibilities and tasks in a professional manner at all times;
  • Liaise with the CEO so that activities and tasks are planned and organised effectively and timeously;
  • Ensure complete confidentiality is always maintained;
  • Be the prompt for the CEO, reminding and organising in respect of upcoming events, meetings, obligations, etc;
  • Plan and agree with the CEO the weekly, monthly and annual objectives and activities required;
  • Attend meetings with the CEO, take minutes;
  • Be proactive and aware of departmental priorities at all times so that relevant and effective support is provided to the CEO;
  • Preparing research and professional standard and quality documents.

Requirements:

  • Good communication and presentation skills;
  • Superb English (Written and verbal);
  • Someone who can follow deadlines and feels great finishing things;
  • Knows how to work on their own and complete a task list;
  • Must Have Your own laptop (plus);
  • Strong analytical and planning skills;
  • Must have at least 2+ years of Experience;
  • Excellent problem-solving skills.
