Job Summary:

The Production Coordinator supports the Project Managers in planning, coordinating, and monitoring production activities to ensure the timely, efficient, and high-quality delivery of advertising materials and campaigns. This role acts as a key liaison between Operations, Creative, Accounts, suppliers, and clients, ensuring that all production and operational requirements are executed accurately.

Key Responsibilities:

1. Production Planning & Coordination

• Coordinate end-to-end production activities for advertising campaigns, including digital content, print materials, video shoots, OOH, events, and branded assets.
• Develop and manage production schedules, timelines, and deliverables in coordination with internal teams and external vendors.
• Ensure all production outputs align with approved creative concepts, technical specifications, and client requirements.
• Monitor project progress and proactively address risks, delays, or production issues.

2. Cross-Functional Collaboration

• Work closely with Creative, Accounts, Business Development, and Digital teams to translate approved concepts into production-ready outputs.
• Coordinate internal handovers and ensure clear communication of production briefs and updates.
• Support creative teams during pre-production, production, and post-production phases.

3. Vendor & Supplier Management

• Source, coordinate, and liaise with external vendors, suppliers, and production partners (e.g., printers, video production houses, event suppliers).
• Request, compare, and evaluate quotations to ensure cost efficiency and quality standards.
• Monitor vendor deliverables to ensure compliance with agreed timelines, quality, and scope.
• Assist in maintaining an updated vendor and supplier database.

4. Budget & Cost Control

• Assist in preparing production cost estimates and budgets.
• Track production expenses and ensure adherence to approved budgets.
• Coordinate billing-related documentation, including purchase orders, invoices, and delivery receipts.
• Flag cost variances and production risks to relevant stakeholders in a timely manner.

5. Quality Control & Compliance

• Conduct quality checks on production outputs before final delivery or deployment.
• Ensure materials comply with brand guidelines, technical standards, and regulatory requirements.
• Manage revisions, reworks, and approvals to maintain production accuracy and efficiency.

6. Reporting & Documentation

• Bachelor’s degree in advertising, Communications, Multimedia Arts, Film, Marketing, or a related field.
• At least 1–3 years of experience in production coordination, project coordination, or a similar role within an advertising agency, production house, or media environment.
• Experience handling multiple production projects simultaneously is an advantage.

Qualifications:

• Strong understanding of advertising production processes (digital, print, video, and events).
• Excellent organizational, time management, and coordination skills.
• Strong attention to detail and problem-solving abilities.
• Effective communication and interpersonal skills.
• Ability to work under pressure and meet tight deadlines.
• Proficient in MS Office / Google Workspace; familiarity with project management tools is a plus.
