HR Employee Relations Administrator

Our work environment represents a culture of dedication, stability, and teamwork. As the business expands, we seek to hire an HR Employee Relations Administrator to join our growing company.

Job Summary

The Employee Relations Administrator is responsible for supporting a positive and compliant work environment by managing employee relations matters, facilitating onboarding, maintaining employee records, and ensuring adherence to company policies and labor regulations. This role plays a key part in conflict resolution, workplace investigations, and employee engagement by acting as a trusted resource for both employees and management.

Job Responsibilities:

I. Onboarding

  • Ensure a smooth and productive onboarding experience for new hires.
  • Facilitate new hire orientation and provide necessary tools, resources, and guidance.
  • Prepare, issue, and manage employment contracts and annexes for probationary, regular employment, and promotions.

II. Employee Relations

  • Manage day-to-day employee relations concerns and provide timely resolution.
  • Foster a positive work environment through fair and consistent application of company policies.
  • Build strong relationships with employees and leadership to support engagement and retention.
  • Conduct exit interviews to gather insights and recommend improvements.

III. Compliance

  • Assist in ensuring compliance with company policies, labor laws, and regulatory requirements.
  • Support audits and reviews related to employee relations and HR processes.

IV. Employee Records Management

  • Maintain accurate and up-to-date employee records (201 files), including both physical and digital documentation.
  • Ensure compliance with data privacy regulations in handling employee information.
  • Keep HR trackers updated and accurate, including:
  • Employee master list
  • NTE & DA monitoring
  • Resignation tracker
  • 6th month/probationary monitoring
  • Ensure HRIS data is accurate, complete, and regularly updated.

V. Conflict Resolution & Workplace Investigations

  • Support managers with employee coaching, counseling, and disciplinary actions.
  • Address employee complaints and concerns in a professional and timely manner.
  • Conduct workplace investigations involving misconduct, harassment, discrimination, or policy violations.
  • Gather evidence, conduct interviews, and document findings thoroughly.
  • Recommend appropriate disciplinary actions or resolutions.
  • Prepare and issue Notices to Explain (NTEs) and Disciplinary Actions (DAs).

VI. Employee Communication

  • Communicate HR policies and procedures clearly and consistently to employees.
  • Serve as a point of contact for employee inquiries regarding HR policies, procedures, and employment matters.
  • Respond to employee requests such as Certificates of Employment (COE) and other documentation.

VII. Miscellaneous

  • Support additional tasks, projects, and assignments as directed by the immediate supervisor.

Job Qualifications:

  • 1–2 years of experience in Employee Relations or HR Generalist roles (BPO experience preferred).
  • Strong knowledge of labor laws and HR best practices.
  • Experience handling employee investigations and disciplinary processes.
  • Excellent interpersonal, communication, and conflict resolution skills.
  • High attention to detail and strong organizational skills.
  • Experience with HRIS systems and HR documentation management.
