About the Role
This Lease Administration & Business Licensing Coordinator role sits at the center of a rapidly expanding U.S. wellness franchise operation where lease accuracy, licensing compliance, and operational coordination directly support studio launches, revenue readiness, and long-term portfolio management. You will oversee critical lease administration workflows, maintain audit-ready documentation, coordinate with municipal agencies across multiple jurisdictions, and ensure business licenses remain compliant and current across a growing national footprint. Qualifications
- 2-5+ years of experience in lease administration, real estate, property management, project coordination, or related administrative functions
- Experience with lease abstraction platforms, preferably Leasecake
- Experience working with U.S. municipal agencies or business licensing processes is highly preferred
- Strong understanding of commercial lease structures including NNN leases, CAM reconciliations, rent schedules, and related documentation
- Exceptional attention to detail and organizational capability
- Ability to manage multiple locations, jurisdictions, deadlines, and compliance requirements simultaneously
- Excellent written and verbal English communication skills
- Confidence communicating directly with U.S.-based landlords, municipal agencies, and internal stakeholders
- Proficiency in Microsoft Office applications, particularly Excel, Microsoft Teams, and document management systems
- Ability to navigate ambiguity and resolve issues independently with minimal supervision
- Reliable home office setup and stable internet connection
- Willingness to work U.S. business hours

- Solve operational and documentation issues independently in unfamiliar or evolving jurisdictions
Responsibilities
Lease Administration
- Upload fully executed lease documentation and supporting files into Leasecake
- Ensure lease records are organized, complete, and accurately categorized
- Coordinate lease abstraction requests following rent commencement confirmation or executive direction
- Submit lease-related documents including amendments, estoppels, assignments, and franchise agreements for abstraction
- Review lease abstractions for accuracy across landlord details, rent schedules, lease terms, and premises information
- Coordinate abstraction corrections and updates with Leasecake as needed
- Maintain complete and up-to-date lease documentation and records
- Audit lease files regularly to ensure data accuracy and completeness
- Maintain landlord and property management contact records within Leasecake
- Update ownership, billing, legal, and notice contact information promptly
- Track and document landlord notices and communications accurately
- Upload and organize delivery notices, rent commencement notices, default notices, and related correspondence
- Maintain Certificates of Insurance for all locations and ensure timely annual renewals
- Coordinate financial lease documentation including NNN letters and CAM reconciliations
- Partner with Finance teams to support accurate financial tracking and reporting
Business Licensing & Compliance
- Research city and county licensing requirements across multiple U.S. jurisdictions
- Navigate municipal portals to identify licensing procedures, timelines, and documentation requirements
- Coordinate directly with municipal offices when information requires clarification
- Complete and submit business license applications through online systems
- Process licensing payments using assigned virtual company cards
- Create and maintain portal credentials and licensing records within internal systems
- Coordinate ownership signature requirements and submission workflows for regulated applications
- Track inspection requirements including Fire, Health, and Zoning approvals
- Coordinate inspection schedules with Development and operational teams
- Monitor application progress and conduct weekly follow-ups with municipal agencies
- Escalate licensing delays and compliance concerns appropriately
- Organize and distribute approved business licenses to operational stakeholders
- Track renewal schedules for business licenses, FBN/DBA certificates, and seller's permits
- Upload updated compliance documents into Leasecake and maintain renewal accuracy
- Support audits, reporting requests, and portfolio reviews as required
- Collaborate with Real Estate, Legal, Construction, Finance, Operations, Development, and Leadership teams to support compliance initiatives
