Operations Support Analyst (Portfolio)

The Company is seeking an Operations Support Analyst (Porfolio) who will collaborate with the portfolio companies on shareholder requests relating to consents, fundraising and/or wind ups. This role will assist the Portfolio team in capturing information needed to make decisions on these matters. The responsibilities are crucial in effectively managing our portfolio companies to safeguard the interests of our investors.

Job Responsibilities:
1. Serve as the first point of contact for portfolio companies submitting shareholder requests (e.g., shareholder consents, fundraising, or wind-ups).
2. Preparing and submitting tax applications for investors for S/EIS tax relief, identifying missing information and contacting companies and liaising with HMRC to complete the application
3. Review incoming requests and identify missing or incomplete information using provided checklists.
4. Follow up with portfolio companies via email to gather required information promptly and accurately.
5. Maintain regular communication to ensure timely responses and updates on request statuses.
6. Organize and present collected information in a clear, structured format to assist Portfolio Associates in decision-making.
7. Support documentation and administrative tasks related to shareholder requests. Accurately log and track each shareholder request using tools such as Monday.com and Salesforce.
8. Collaborate with the Portfolio Team to ensure consistency and compliance with internal processes.
9. Contribute to the continuous improvement of team workflows and documentation standards.

Requirements:
1. Bachelor’s degree in Business, Finance, or a related field is preferred to ensure a strong foundation in investments, company structures, and stakeholder engagement.
2. 1–2 years of experience in client services, investment operations, or administrative support, ideally within a startup, financial services, or fast-paced tech environment.
3. Strong analytical and problem-solving skills to assess shareholder requests and identify required information.
4. Excellent organizational and time management abilities to handle multiple tasks and follow-ups effectively.
5. Proactive and detail-oriented mindset, with the ability to work independently and manage deadlines.
6. Clear and concise written and verbal communication skills for interacting with portfolio companies and internal teams.
7. Proficiency in project management tools such as Salesforce for tracking and organizing requests.
8. Comfortable working in a dynamic, collaborative environment and contributing to continuous process improvement.
