Stellar Personnel is a Canadian hospitality staffing agency providing staffing solutions to businesses across catering, corporate offices, sports and event venues, restaurants, hotels, retirement homes, and other industries. We recruit for a variety of positions, including dishwashers, cooks, chefs, servers, bartenders, cashiers, runners, warehouse personnel, and administrative staff.

Position Overview

Stellar Personnel is seeking a proactive, organized, and results-driven Staffing Coordinator to oversee daily staffing operations, coordinate shift fulfillment, and maintain strong relationships with clients and personnel.

This role goes beyond scheduling. You will manage assigned client accounts, anticipate staffing needs, resolve operational issues, identify opportunities to grow accounts, and help ensure consistent, high-quality client service.

Key Responsibilities

• Shift Fulfillment: Manage daily staffing requests and ensure shifts are filled on time with qualified, reliable personnel.
  
• Client Management: Communicate with clients to understand staffing requirements, provide updates, resolve concerns, and maintain strong working relationships.
  
• Staff Coordination: Confirm staff availability, monitor attendance and reliability, and coordinate replacements for last-minute cancellations.
  
• Account Growth: Identify opportunities to increase shift coverage, expand existing accounts, and improve client retention.
  
• Issue Resolution: Address staffing challenges and client concerns promptly, escalating critical issues when necessary.
  
• Records and Performance Tracking: Maintain accurate staffing records, monitor key performance indicators (KPIs), follow established procedures, and ensure smooth shift handovers.
  
• Team Collaboration: Work closely with recruitment and other staffing coordinators to address staffing gaps and deliver reliable service.
  

Qualifications and Requirements

• At least 3 years of experience in recruitment, staffing coordination, or workforce management, preferably within a staffing agency.
  
• Proven experience communicating directly with clients, candidates, and other stakeholders.
  
• Strong understanding of recruitment, candidate screening, staff availability, scheduling, and shift fulfillment.
  
• Demonstrated ability to manage client accounts, prioritize competing demands, and resolve staffing challenges independently.
  
• Excellent written and verbal English communication skills.
  
• Strong organizational, problem-solving, decision-making, and time-management skills.
  

Schedule and Availability

• Must be available to work five days per week, with two days off.
  
• Must be available seven days a week for scheduling purposes, between 6:00 AM and 12:00 PM Eastern Time, as operational needs require.
  
• Flexibility is essential, as staffing demands and work schedules may change.
  
• Weekend and holiday availability may be required.
