Hi! We're Smartsourcing , and we're hiring a full-time , onsite Finance Generalist whose main focus is payroll — running weekly pay accurately and on time — alongside ownership of the wider transactional finance cycle for an onshore finance team.

About the Role

As a Finance Generalist, your largest focus is payroll — managing the payroll inbox, collating timesheets and approvals, processing weekly pay with all loadings and adjustments, and coordinating sign-off and bank-file transmission so employees are paid accurately and on time. Around that, you'll own the transactional finance cycle: the daily sales journal, weekly accounts payable and receivable, bank and credit card reconciliations, balance sheet reconciliations, the fixed assets register, and BAS support. Working alongside the existing offshore team member and the onshore Finance team, you'll keep records complete and compliant, contribute to process improvement and documentation, and process everything accurately and within agreed timelines. It's a role for someone analytical and detail-driven who can carry work through to completion with minimal supervision — and who's confident enough to speak up and share ideas.

Key Responsibilities

Payroll Processing

• Collate, review, and prepare all timesheets, payroll hours, and spreadsheets in time for processing and payment.
• Ensure all employee leave requests are authorised and applied in a timely manner.
• Process onboarding and offboarding within payroll, coordinating termination calculations and estimates for sign-off.
• Review and correct payroll errors, applying all relevant loadings, deductions, and adjustments by scheduled deadlines.

Payroll Administration & Query Management

• Manage the payroll inbox, triaging and responding to payroll queries in a timely, professional manner.
• Maintain accurate employee details within the payroll system.
• Follow up managers to obtain outstanding timesheet and leave approvals ahead of processing.

Payroll Review, Approval & Reporting

• Generate payroll management reports for review.
• Coordinate the review and sign-off of payroll with the onshore team.
• Ensure timely transmission of the bank file so payroll can be processed.

Accounting & General Ledger

• Manage the daily sales journal process.
• Prepare and reconcile balance sheet accounts.
• Maintain the fixed assets register.
• Assist in preparing statutory returns, including BAS.

Accounts Payable & Receivable

• Manage and review weekly supplier statement reconciliations.
• Process accounts payable invoices, including preparation of ABA files, BPAY, and transfers.
• Assist with weekly customer invoicing, and follow up invoice disputes and approvals for wholesale customers.
• Help manage the Accounts inbox.

Bank & Credit Card Reconciliation

• Complete weekly reconciliation of all bank accounts, including company credit cards.
• Resolve reconciling items within agreed timelines.

Process Improvement & Stakeholder Coordination

• Learn the team's processes, and help document and standardise finance and payroll workflows.
• Identify and support continuous improvement opportunities.
• Coordinate with the onshore Finance team, suppliers, and customers, escalating issues appropriately and in a timely manner.

Artificial Intelligence (AI) Readiness and Digital Enablement

• Maintain baseline AI literacy and use approved AI tools responsibly, in line with company policies, data privacy, information security, and client confidentiality obligations.
• Apply sound judgment by validating outputs and avoiding overreliance, ensuring accuracy and accountability in all work delivered.
• Participate in AI readiness trainings and proactively identify opportunities for process improvement through automation and responsible AI integration.

What You'll Need to Succeed

Experience

• Payroll processing experience — timesheets, loadings, deductions, adjustments, and end-to-end weekly pay runs
• 1-5 years of experience in an accounting role covering transactional finance — sales journals, accounts payable/receivable, and bank reconciliations
• Experience supporting a small business is highly desirable

Skills & Behaviours

• Strong analytical capability and high attention to detail
• Able to carry tasks through to completion with minimal supervision
• Excellent written and verbal communication; confident speaking up and sharing ideas
• Awareness of payroll accuracy, AP/AR controls, statutory return requirements (including BAS), document handling standards, client confidentiality, and data privacy obligations

Education

• Bachelor's degree in Accounting, Finance, Commerce, or a related field preferred
• A relevant accounting or bookkeeping qualification is advantageous

Tools

• MS Excel and the broader Microsoft Office suite — proficient
• Employment Hero or AU payroll system experience advantageous
• Open to any accounting system; Xero experience advantageous
