Job Description Documentation & Data Entry: Scan, file, and organize logistics paperwork, including Delivery Receipts and Supplier Invoices. Accurately log and update all warehouse and logistics transactions within Lark. Inventory Control & Audit Compliance: Conduct regular stock checks and inventories for materials, tools, and equipment. Implement strict warehouse inventory controls to maintain high-quality standards for incoming audits. Order Procurement & Liquidation: Manage the internal dissemination of Purchase Orders paired with invoices to serve as procurement, liquidation, and payment references. Raise Purchase Requests for fast-moving warehouse stock when inventory runs low. Dispatch & Delivery Preparation: Verify item availability against inventory data, prepare items for dispatch, and ensure proper packaging, labeling, and tagging of materials. Cross-reference final deliverable counts against shipping documents. Logistics & Itinerary Scheduling: Draft and manage daily driver itineraries and delivery schedules. Act as the primary point of contact to resolve active driver concerns regarding pickups or deliveries. Receiving & Verification: Oversee the loading and unloading of shipments. Receive, log, and verify the accuracy of incoming materials and site pull-outs, ensuring any excess materials returned from project sites are fully documented. Asset Tracking: Monitor the location and status of tools and equipment, keeping secure, up-to-date records of their precise whereabouts. Site Coordination: Liaise directly with Site Project Managers (PM) and Inventory Controllers (IC) to synchronize delivery windows and respond to inventory inquiries. Operational Support: Execute additional warehouse maintenance and operational duties as assigned by management. Minimum Qualifications Educational Background: Holds a Bachelor’s degree in Logistics Management, Supply Chain Management, or a related field. Professional Experience: Possesses 1–2 years of hands-on experience in warehouse operations, logistics, or inventory management. Prior experience handling document filing, stock monitoring, and delivery coordination is highly preferred. Technical & System Proficiency: Proficient in MS Office (Excel, Word, Outlook). Experience leveraging warehouse management systems or tools like Lark is a distinct advantage. Core Logistics Knowledge: Strong functional understanding of inventory control, stock management, and standard receiving/delivery workflows. Documentation Skills: Skilled in data entry and drafting essential logistics paperwork, including Delivery Receipts (DR), Pull-Out Permits, Accountability Forms, Purchase Requests (PR), and Driver Itineraries. Soft Skills & Execution: Highly detail-oriented and accurate in data logging. Strong communication and coordination abilities with a proven capacity to multitask effectively under pressure. Operational Flexibility: Exhibited commitment to precise record-keeping and a willingness to render overtime as operational demands require.
