The Role We're seeking a responsive, highly organized Tax Administrator. This role is designed for someone with strong client-service instincts who can coordinate client intake, tax-season documentation, and engagement workflows without needing to make independent tax preparation or accounting judgments. You'll play a key role in managing client onboarding, tracking return statuses and deadlines, and maintaining secure, organized client records across franchise and small-business accounts. Location: Must be in The Philippines – Remote. Environment: Philippines and International Teams. Language: Advanced English (B2+ - C1). Time zone: Monday to Friday – 9:00 AM – 6:00 PM Eastern Daylight Time. Contract: Full Time Requirements
- Education: Bachelor's degree in finance or any related degree; relevant hands-on client-service or tax-office coordination experience is the priority.
- Experience: 1-3 years of administrative, client-service, tax-office, or professional-services coordination experience; prior experience in a CPA firm or with tax return processing and engagement workflows preferred; experience supporting franchise or multi-entity clients a plus.
- Skills: Comfort with spreadsheets, document management, e-signature tools, and learning tax practice software; experience with Tax Dome, Drake, QuickBooks Online, Microsoft 365, and AI tools (ChatGPT, Claude, and Juno); familiarity with tax practice-management software, client portals, or e-filing coordination a plus.
- Characteristics: Excellent written and verbal English communication and professional client follow-up; strong organization, attention to detail, and deadline tracking across multiple client files; maintains confidentiality and uses secure client-document procedures.
- Coordinate new-client onboarding, engagement letters, tax organizers, client questionnaires, and secure document requests.
- Communicate with clients about outstanding information, appointment scheduling, status updates, and routine administrative questions.
- Track return statuses, internal assignments, filing and extension deadlines, and open action items in the firm workflow system.
- Route completed client files to preparers and reviewers, tracking review notes, signature requests, and approved filing steps.
- Organize tax documents and correspondence in secure digital client files, checking completeness against firm checklists and flagging missing items or discrepancies for the tax team.
