Job Purpose

Oversee the maintenance and upkeep of the office premises and ensure all facilities are in compliance with health and safety regulations.

Job Responsibilities

1. Facilities Management

· Oversee the maintenance and upkeep of the office premises.

· Ensure all facilities are in compliance with health and safety regulations.

· Coordinate with external vendors for facility-related services.

1. Repairs and Maintenance

· Schedule and supervise repairs and maintenance activities.

· Maintain a log of all repair and maintenance work.

· Ensure timely resolution of any facility-related issues.

1. Local Vendor Management

· Manage local vendors, and onsite contractors (e.g., security, cleaning, and HVAC services).

· Negotiate contracts and ensure services are delivered as per agreements.

· Monitor vendor performance and address any issues promptly.

1. Seat Allocation and Management

· Plan and manage the allocation of office seating.

· Coordinate with department heads to ensure optimal use of office space.

· Maintain an updated seating chart and manage any changes.

1. Reception Management

· Oversee the reception area and ensure it is welcoming and professional.

· Manage reception staff and ensure efficient handling of visitors.

· Implement and maintain visitor management systems.

1. Equipment and Inventory Management

· Maintain an inventory of office equipment and supplies.

· Ensure all equipment is in good working condition and arrange for repairs or replacements as needed.

· Manage the procurement of office supplies and equipment
