Appointment Setter / Sales Support Specialist Virtual Assistant

Full-time

Key Responsibilities

  • Conduct outbound calls to prospective clients and industry contacts
  • Schedule qualified appointments for the sales team
  • Support sales initiatives through lead qualification and relationship-building
  • Gather detailed project information and accurately document findings
  • Communicate professionally with architects, designers, contractors, developers, and decision-makers
  • Follow established scripts, processes, and qualification guidelines
  • Maintain accurate records of all interactions and follow-up activities
  • Track and manage leads through CRM systems
  • Provide exceptional customer service and support throughout the sales process
  • Meet daily, weekly, and monthly call, appointment, and performance targets
  • Coordinate with internal teams to ensure smooth lead handoff and appointment management
Qualifications Required Experience * Minimum of 5 years of experience in:
  • Advanced Appointment Setting
  • Sales Support
  • Customer Service
Experience working within the **construction, real estate, architecture, or interior design industries** is highly required. Proven track record of meeting or exceeding sales and appointment-setting targets. Industry Knowledge Basic understanding of construction and design terminology, including: Specifications Bid Lists Project Phases Bathroom Products Construction and Design Processes Communication Skills The ideal candidate must demonstrate: Clear, confident, and professional verbal communication Strong listening skills with the ability to capture critical details Ability to explain the purpose of calls effectively and persuasively without being aggressive Excellent written communication skills Professional and customer-focused approach to interactions Comprehension Skills Candidates should possess:
  • Ability to quickly understand project details, technical discussions, and customer requirements
  • Strong interpretation skills to identify needs beyond what is explicitly stated
  • Ability to follow instructions, scripts, and qualification processes accurately
  • Capacity to gather and relay information clearly and effectively
Retention Skills Ability to remember key details from previous conversations Strong follow-up management skills Ability to track project timelines, client requests, and appointment schedules Excellent attention to detail and record-keeping abilities Technical Requirements Proficiency in Microsoft Office Suite Experience using Google Workspace Strong spreadsheet and email management skills Experience with CRM platforms preferred Familiarity with Salesforce and Aircall is a strong advantage Ability to learn new software and systems quickly Preferred Traits Confident, friendly, and persuasive personality Goal-oriented and target-driven mindset Strong work ethic and self-discipline Highly organized and dependable Adaptable and eager to learn about products and industry trends Comfortable making high daily call volumes Motivated by KPIs and performance goals Language Requirements Excellent command of English, both verbal and written Strong business communication and relationship-building skills Ability to communicate professionally with U.S.-based clients and stakeholders Why Join Us?
